How to link uploads back to Lightroom?

When you are a Lightroom user and have a Photoshelter account for your photography business, life became so much easier since the lightroom export plugin turned into a publish service. But what if you have uploaded some or even thousands photos before you started using the export plugin, then you have many images on Photoshelter that are not linked to the originals in your Lightroom catalog. There is a way to solve this.

Linking uploaded photos to lightroom

The pact export plugin stores the Photoshelter image ID in a custom Metadata field of photo in your Lightroom catalog. It also marks the photo as "On Photoshelter".

Both custom metadata fields are editable so by filling in the correct Photoshelter image ID it is possible to manually link Photoshelter images to your lightroom Catalog. If you have many images uploaded before uploading with the export plugin, this can be a tiring procedure.

These custom metadata fields are searchable so you can create a smart collection to contain all photos marked as on Photoshelter.

Locate images on Photoshelter

I added two options to the "Plug-in Extra's" menu of lightroom.

Locate images on Photoshelter

This option will query all your Photoshelter Archive folders for photos and tries to locate these images in your Lightroom catalog. For images that are found, it fills the custom metadata with the Photoshelter image ID. To identify the correct image in Lightroom it uses the filename. It assumes you have unique filenames in Lightroom and that this filename is used or is used as a prefix on Photoshelter.

The locate process is very time consuming and its results vary. I recommend using this option since it stores the found image IDs in the custom metadata. The import images option when creating a publish service uses the same slow search process but it first looks in the custom metadata to see if the image ID is already available.

remove photoshelter images links

This option removes the stored custom metadata from the selected images. It is useful to clear the Photoshelter image IDs from images that were incorrectly identified with the locate images option.

I've uploaded a gallery in PS from LR (plugin ver 3.1.0.2011006). Added new IPTC data and keywords in PS and tried to sync them back to LR via the Import IPTC data from Photoshelter option. Don't see the updated keywords in LR. Other IPTC data synced. Do we have to do anything different with keywords? Or are they just not supported?

Thanks!

Hi

I've just downloaded and installed the new Publish service version, having used the old Export version for quite a while. It installed OK, and created the archive folder structure in Publish Services correctly.

I then went to Plug-in Extras>Locate Images on Photoshelter. It took a while to process (as I had expected), but it didn't populate the Publish Service folders. It did find and match all of my images (actually it found 5377 when I only have 5220, but this may include some I have removed) - I created a smart collection with On Photoshelter=true.

How do I get it to populate the folders?

Many thanks for this by the way, it is even better and more ideal. I wish someone would do likewise for Alamy!

Hi Patrick,

The locate images, doesn't have an immediate effect on the publish service.
Only on creating a publish service it 'looks' at linked images in your collection.

So you need to create a new publish service. Create one as a test first.

Thanks Paul for a very quick reply! In the meantime I had found another post which explained this, so I came back just to say all is now sorted - but you beat me to it!

Thanks again.

Hi Paul

Nice plugin! I really like the possibilities with the synch between Lightroom and Photoshelter, but I have one issue.

When I make a new Publish server and selecting "Import Folders" and "Import Images", the plugin works perfect to locate my folder, but only find my few images with Photo ID number in the IPTC-data.

I have 7880 images published on Photoshelter (not exported with this plugin), but none of these images are found when installing the plugin. The Plug-in Extras - Locate images on Photoshelter is also like dead. The filenames in Lightroom and Photoshelter is exactly the same.

I have 220.000 images (Raw-files and high res Tiff-files) in Lightroom, is that maybe the problem?

I also use the Lightoom 3.6 version running on Mac, but that should not be the problem.

Do you have any suggestions on how I can locate my images in Photoshelter??
